Tool Gate · How it works
How the CRM Win-Back gate works
How the CRM Win-Back gate grades a dormant contact: four levers weighted into a 0–100 win-back score, with a suppression gate where an opted-out contact is DO NOT CONTACT regardless of value — which is how a top-relationship contact scoring 66 is still DO NOT CONTACT, because reachability is 0 and the gate never grants permission to contact.
How the gate works
This tool grades a dormant contact before you spend effort winning them back. Each control is marked from your own evidence and weighted into a 0–100 score — and then the score is run past a gate that can only make the verdict worse.
The 4 weighted controls
| Signal | Weight |
|---|---|
| Relationship value | 35 |
| Engagement signal | 25 |
| Fit now | 20 |
| Reachability | 20 |
| Total | 100 |
The verdict bands
A contact who has opted out or is unreachable is DO NOT CONTACT regardless of how valuable they are. Reachability at or below 1 forces DO NOT CONTACT no matter how high the win-back score — the gate ranks priority, it never grants permission to contact.
In the worked sample it scores 66 out of 100 and still reads DO NOT CONTACT — This is a top-relationship contact still showing some signal — the win-back score is 66, which reads REVIVE NOW. But reachability is 0: they've opted out. The suppression gate forces DO NOT CONTACT no matter how valuable they were — it ranks priority, it never grants permission to contact. The one thing to fix first: Reachability is 0 — this contact opted out. Respect the suppression and spend your win-back effort on the reachable high-value contacts instead; the gate protects you and them..
Common questions
Can something score well on the How the CRM Win-Back gate works and still fail?
Yes. The weighted score is run past a worsen-only gate — the Suppression — that can only make the verdict worse. In the worked sample it scores 66 out of 100 and still reads DO NOT CONTACT, because this is a top-relationship contact still showing some signal — the win-back score is 66, which reads REVIVE NOW. But reachability is 0: they've opted out. The suppression gate forces DO NOT CONTACT no matter how valuable they were — it ranks priority, it never grants permission to contact.
What is a worsen-only gate?
A dispositive rule that can only lower a verdict, never raise it. One fatal flaw overrides an otherwise-good score, because a single disqualifying gap shouldn't hide behind a high average. The tool also names the one thing to fix first — here, "Reachability is 0 — this contact opted out. Respect the suppression and spend your win-back effort on the reachable high-value contacts instead; the gate protects you and them.".
Ranks win-back priority; it never grants permission to contact. Respect every opt-out and confirm consent before any outreach.
